AI workflow suite on n8n: five automations for everyday work

Small businesses have many tasks that are individually too small to hire for and collectively expensive: reading and summarising industry articles, sourcing images, routing requests to the right specialist, booking appointments, triaging an inbox. We wanted to show that each can be automated reliably – not as a chatbot that returns text, but as a workflow that finishes the task.

Solution

Each of the five workflows is self-contained: a clear trigger, one AI step scoped to a single job and a real destination – a spreadsheet, Google Drive, a calendar, a Gmail label. A router classifies requests and hands them to one of three specialist agents, asking a clarifying question when it cannot tell. The appointment agent checks the calendar for conflicts before booking and refuses overlaps. Inbox triage applies exactly one of four labels per email and touches nothing else.

Implementation

Built in n8n with Gemini and Groq models, connected to Google Sheets, Google Calendar, Gmail, Google Drive, Pexels and Apify. All five workflows were tested against live accounts, including deliberate failure cases: broken links, unreadable documents, double-booked slots, nonsense input. The suite is our building kit for client projects – the blocks are adapted to each business’s tools and rules.
